SharePoint Customizations after Migration

The Client

The client is a large school based out of Michigan, USA.

The Need

The client as a School conducts several Entrepreneurial events for students right from grade 1 up to high school at its premises. The entrepreneurial events are broken down into several competitions and rounds, the results of which involve critical evaluation criteria. The result announcements of the events are normally done after a week as there would be nearly 250+ entries and each entry would be evaluated by at least 8 to 9 judges.

The client was looking for a grading solution that could make the evaluation process faster and which could be used to easily grade projects, business ideas based on the outlined criteria. The client was already on-board Microsoft Office 365 and was initially looking to build a solution on Microsoft SharePoint which would help them develop reporting services, download CSV extracts, and upload manual result records of the participants.

Star Knowledge, a Microsoft Gold Partner, proposed to build the entire requirement-specific grading solution on Microsoft Power Apps to simplify the evaluation and reporting process.

The Challenge

The judgement and evaluation process was tedious and time-consuming as there would be 250+ participants. The challenge was to build a solution that reduced the time in the evaluation, produced quick results, and made rating/ grading super easy.

The Solution

The Star Knowledge’s team of Power Apps developers proposed to build a Power Apps solution using SharePoint as the backend storage engine to manage the results. We developed several forms and automated workflows which made the evaluation process quick.

Using Power Apps, we built a solution to enable the students to self-register themselves for the event and update their business ideas which would be sent for approval. The approved entries were later emailed with the booth details and other information specific to their events.

The judges would be logging in to Power Apps and based on their security roles they would be able to see the booths that are assigned to them along with the summary of the booth and business idea which would later allow the respective judges to rate the idea on several pre-defined criteria.

Each judge would be assigned specific booth and once all the judges are done evaluating, the results of all the judges for a booth are aggregated and results are stored in a SharePoint list along with the feedback. The resulting data is then sent as a pdf report to the admin as well along with winners who are sent a congratulatory email.

Benefits obtained

  • Automated workflow process that saves days of manpower effort
  • Self-registration enablement frees the admin from manual uploads and registration
  • Judges get a seamless interface to judge right from their devices instead of manual entry on paper
  • Announcement of the results consumed lesser time than earlier

Technology

  • Microsoft Power Apps
  • Microsoft Power Automate
  • SharePoint Online
  • HTML
