Departmental Sites, Forms, and Automation for Improved Workplace Efficiency

Client Goal

The client aimed to modernize its workplace by adopting SharePoint best practices. With limited technical expertise, they wanted structured departmental sites, digitized processes, and a smooth adoption journey supported by training and guidance.

Challenges Faced

The organization lacked a clear framework for using SharePoint effectively across different departments. Each unit managed content inconsistently, leading to poor collaboration and difficulty in locating documents. Manual processes slowed operations, and employees struggled to adapt without structured training or support.

Our Approach / Contribution

We began with a consultative assessment of key departments, including HR, Operations, Finance, and Technical teams. After identifying their unique needs, a future-ready SharePoint environment was designed with departmental-specific sites.
Key processes were selected for digitization and automation, such as metadata tagging and document classification. Adoption programs were rolled out in phases (30, 60, and 90 days) with targeted training sessions. To ensure long-term success, a dedicated support helpdesk was also established post-implementation.

Solutions Delivered

  • Automated metadata tagging and document classification using Syntex
  • Enhanced search capabilities for quick and relevant information retrieval
  • Defined and implemented digitized business processes across departments
  • Rolled out adoption programs with 30/60/90-day milestones
  • Provided structured training and established a dedicated support helpdesk

Business Outcomes / Results

  • Improved workplace efficiency through streamlined departmental collaboration
  • Faster document retrieval with automated tagging and advanced search features
  • Reduction in manual processes and errors through digitization and automation
  • High adoption rate achieved with structured rollout and ongoing training
  • Enhanced employee productivity supported by continuous helpdesk assistance

Conclusion / Impact

The project enabled the organization to establish a future-ready workplace built on SharePoint best practices. By combining process automation, adoption programs, and ongoing support, the client now benefits from improved collaboration, operational efficiency, and a strong foundation for future digital transformation
